Connecting Deputy
If you pay staff through Deputy, the Roz team can connect it to Roz for you. Then you plan the roster in Roz, send it to Deputy, and publish it in Deputy. Changes made in Deputy come back to Roz.
How does Roz work with Deputy?
- Deputy holds the published roster and pays the staff.
- Roz sends shifts to Deputy unpublished. You publish them in Deputy, so staff see them and Deputy pays them.
- Roz checks Deputy every 15 minutes in business hours, and when Deputy tells Roz about a change.
- Roz never changes past shifts in Deputy. Deputy uses them for timesheets and pay.
How do I get Deputy connected?
The Roz team connects Deputy for you. You must be a manager to ask.
- Open Settings › Integrations.
- Under More integrations, find Another system and select Request setup.
- Roz shows Requested. The Roz team will email you to set it up.
- The Roz team replies by email. Tell them that you use Deputy. They connect Deputy for you.
You can also email [email protected] and ask for Deputy. See Getting help.
When Deputy is connected, the Deputy card in Settings › Integrations shows Connected. Select Test connection to check it. If the card shows Connection error, contact the Roz team.
How do I link my staff to Deputy?
Roz can send a person’s shifts only when that person is linked to their Deputy employee.
- On the Deputy card, select Import staff.
- Roz matches Deputy employees to your Roz staff by name and email.
- Check the matches. For a person Roz could not match, pick the right Roz staff member, or leave Not now.
- Select Link staff (or Link N staff members).
The card tells you how many staff are not yet linked.
What is a Deputy area?
Deputy puts each shift in an area. Roz picks the area from the site and the role of the shift. When that is not enough, set it yourself in Settings › Integrations:
- Deputy area for each site and role — one area for each site and role.
- Deputy area for each person — an area for one person at one site. This is for a person who works in a different area from their role.
How do I send a roster to Deputy?
You can send a published roster only.
- Open Roster and go to the published week.
- Select More › Send to Deputy.
- Check the lists: Will be added to Deputy, Will be changed in Deputy, and Will be removed from Deputy.
- Select Send to Deputy. Keep the page open. Deputy takes about one second for each shift.
- Open Deputy and publish the shifts.
You can also open the Deputy panel in the side bar on the roster and select Review and send….
What happens when someone changes a shift in Deputy?
Roz sees the change at the next check.
- If Bring changes made in Deputy into Roz automatically is on, Roz takes the change.
- If it is off, the roster shows Deputy ahead. Select Bring in Deputy’s changes in the Deputy panel, or Bring them into Roz on the Send to Deputy page.
- If a shift changed in both Roz and Deputy, Roz waits for you. Under Needs your decision, choose Keep Deputy’s or Keep Roz’s.
To check now, select Check Deputy now in Settings › Integrations or in the Deputy panel.
What does the Deputy panel on the roster show?
On a roster, managers see a Deputy item in the side bar. It shows:
- Not sent to Deputy yet — shifts to add, change, or remove.
- Sent, not published — shifts in Deputy that you still need to publish there. Select Publish in Deputy to open Deputy.
- Cannot be sent — shifts for people who are not linked. Select Link staff.
- In Deputy, not in Roz — Deputy shifts that Roz cannot place.
- Waiting in Deputy — leave and news from Deputy. Act on them in Deputy. Roz shows them but does not change them.
Can I bring my Deputy shifts into Roz?
Yes, once. On the Deputy card, select Import shifts. Roz shows what she found. Select Import N shifts to go ahead. Roz publishes the shifts as your live roster, named “Deputy import”. Staff get no messages, and Roz writes nothing to Deputy.
How do I disconnect Deputy?
Select Disconnect on the Deputy card. To send rosters to Deputy again, ask the Roz team to connect it again. Then link your staff again.
Can Roz help with Deputy?
Yes. Ask Roz, for example “Is this week in sync with Deputy?” or “Send this roster to Deputy”. Roz asks you to confirm before she sends shifts, brings in changes, links staff, or settles a conflict.
Can Roz connect to other systems?
Settings › Integrations › More integrations lists Xero, MYOB, Employment Hero, KeyPay, Tanda, Google Calendar, Outlook calendar, and another system. The Roz team sets these up. Select Request setup on a system to ask for it.
